Payment, Direct Billing & Appointment Policies

At Active Balance Health Centre, our goal is to make your experience as smooth and supportive as possible so you can focus on what matters most — your health.
The following policies help our clinic run efficiently, respect the time of both patients and practitioners, and allow us to provide care to as many people in our community as possible.

Payment Policy

Payment for services is due at the time of your appointment.

Accepted Methods of Payment

We accept the following forms of payment:
• Debit
• Cash
• E-Transfer
• Visa
• Mastercard
• American Express

Receipts are emailed immediately after your payment and can also be printed upon request.

Credit Card on File

Credit cards can be added to a patient’s profile at anytime but most often, patients will be asked electronically when completing their Intake Form. Adding a credit card is optional (except for the Pelvic Floor Physiotherapy Intake Form).

For everyone’s convenience, many patients choose to keep a credit card securely stored on their patient profile and can share it between family members, if desired. At anytime, patients can manage their credit card on file by adding or deleting their card or by choosing to pay with a different method at the time of their appointment.

This card on file may be used for:

  • Appointment fees
  • Outstanding balances after insurance claims are processed
  • Late cancellation or missed appointment fees (when applicable)

All card information is securely encrypted and processed through a PCI-compliant third-party payment processor. Our clinic only has access to the last four digits and the expiry date of the card.

Protecting your financial and personal health information is extremely important to us.

Direct Billing

Whenever possible, we offer direct billing to most major insurance providers.

To allow us to submit claims on your behalf, please provide your insurance information when completing your intake forms. This provides your authorization and consent for us to retain your insurance information, direct bill your insurance company on your behalf and receive payment from your insurance company.

Please note:

  • Direct billing is offered as a courtesy service
  • We direct bill one insurance company only (your primary plan)
  • Insurance claims are generally submitted once daily
  • Any portion not covered by your insurance remains your responsibility
  • If you have insurance, we kindly ask you to keep a credit card on file for any balance not covered by your insurance

If there is a remaining balance after insurance processing, the amount will be charged to your card on file or processed at your visit. A receipt will be emailed to you.

Because insurance plans vary widely, we recommend confirming your coverage with your provider before your appointment.

Alberta Seniors Program (Alberta Blue Cross Group 66)

Patients aged 65 and older may qualify for the Alberta Seniors Program for chiropractic services.

Coverage currently includes:

  • $25 per visit
  • Maximum $200 per benefit year (renewing July 1)

Under this program, Alberta Blue Cross becomes the primary insurer.

Appointment Cancellations

Appointments are reserved especially for you. When cancellations happen with little notice, it is often difficult to offer that time to another patient who may be waiting for care.

Your appointment time is reserved specifically for you. Because many patients are waiting for appointments, we ask that you provide at least 24 hours notice if you need to cancel or change your visit so that we may offer that time to someone else who needs care.

Appointments cancelled with less than 24 hours notice, missed appointments, or appointments that cannot proceed due to late arrival may be subject to a cancellation or missed appointment fee.

Appointments can be cancelled or rescheduled by:

  • Logging into your online patient profile, or
  • Calling the clinic at 403-993-6337

Please note: If your appointment is within 24 hours, it can not be moved or cancelled online. Please call the clinic. Voice mails and emails received at hello@activebalancehealth.ca to move or cancel appointment will be time-stamped based on time received.

Late Arrival Policy

We understand that delays happen.

If you arrive late for your appointment, your practitioner will do their best to provide care within the remaining appointment time. Your appointment may need to be shortened in order to stay on schedule for other patients.

In some cases, if there is not enough time remaining to safely or effectively provide treatment, the appointment may be considered a late cancellation or missed appointment.

Practitioner-Specific Policies

Active Balance Health Centre is a collaborative clinic made up of independent practitioners from multiple disciplines.

Because each practitioner manages their own professional schedule and practice style, cancellation, late arrival, and missed appointment policies may vary slightly between practitioners and disciplines.

Examples may include:

  • Different cancellation notice requirements
  • Reduced fees for late cancellations
  • Full appointment fees for missed sessions

Longer Appointment Services

Some services offered at Active Balance Health Centre — particularly initial appointments, assessments or extended sessions — reserve longer blocks of time for your appointment. Because these appointments can be difficult to fill on short notice, late cancellations or missed appointments for these services may be charged the full appointment fee.

Repeated Missed or Late Appointments

We understand that occasional schedule conflicts can happen and we always try to be understanding when unexpected situations arise. However, repeated late cancellations or missed appointments make it difficult for practitioners to offer care to other patients who may be waiting for appointments.

If a pattern of repeated missed or late appointments occurs, the clinic may:

  • Require additional notice for cancellations
  • Request a credit card on file to book future appointments
  • Limit the ability to book multiple appointments in advance

Our goal is always to work collaboratively with patients so care can continue smoothly while respecting the time of both practitioners and other patients.

When Life Happens

We know that life can be unpredictable.

Illness, childcare issues, weather, work demands, and unexpected events do happen. If something comes up, please contact the clinic as soon as possible. Whenever we can, we will always try to be understanding and work with you.
